Preparing for Your Journey as a New Employee with Us

To provide you with an effortless onboarding experience, here is a roadmap of the critical steps you need to complete before officially joining the team. Below this, you will find step-by-step guidance and links to the forms you will complete.

Step 1: Sign Offer Documents and Confirm Address

  1. You will receive an email from chenmed@myworkday.com with a link to your Employment Agreement documents in Workday, which is our internal HR system. Through this link in Workday, you will review and sign the following documents:
  • Offer Letter & Confidentiality and Protective Covenant Agreement
  • Standard Terms Addendum
  • Drug-Free Workplace and Acknowledgement
  • Review the Company Handbook and sign The Company Handbook Receipt & Acknowledgement
  • Employee-Owned and ChenMed-Owned Vehicles Policy (if applicable)

information icon IMPORTANT: You will have 5 calendar days to review and sign your offer documents. Your electronic signature is required on these documents for you to begin work, and any delay may cause a change in your start date. *If you live in the State of IL, you have 14 calendar days to sign.

  1. In the same link, locate the "My Account" option and select "Update Contact Information." Please confirm your address here is accurate and make any necessary updates. ChenMed will use this address to provide you with the new hire information, which includes providing you any equipment needed for your position. 

 

Step 2: Complete Background Check

After signing your offer documents, you will receive an email within 24 business hours from our background screening vendor, Accurate. This email will come from ace_admin@accurate.com and will include a link to a consent form to start your background check. If you do not see this email, check your spam or junk mail folder. 

information icon IMPORTANT: You will have 3 calendar days from the time you receive the email to complete this consent. Please be aware, if you do not complete the consent form within this timeframe, we cannot move forward with your employment. 

bulb icon TIP: Providing copies of your highest level of education or professional license (if applicable) will expedite the background check process. You will be asked for these copies when completing the background check consent form, however, it is not required. For a full list of eligible supporting documents you can provide, click here.

 

Step 3: Drug Screening and Bloodwork (if required)

While filling out your background check consent form, you may have been asked to schedule your drug screening. If you did not schedule this after completing your consent form, you will receive another email from Accurate within 24 hours, which includes the authorization for the Urine Drug Screening and Bloodwork. You will receive this email from ace_drugscreening@accurate.com. For more information on what is tested during bloodwork, click here. 

You must print BOTH of these authorization forms and bring them with you to the testing facility. You will have the opportunity to select a testing center nearest your location when completing the authorization form. 

information icon IMPORTANT: Once you receive this email, you will have 72 BUSINESS HOURS to complete your pre-employment drug test and bloodwork. The tests MUST BE COMPLETED within this timeframe, or we cannot continue with the offer of employment. The expiration date of your test will be included in the authorizations, and we do not allow any exceptions to our drug testing deadline date. Contact your Recruiting Coordinator immediately if you are unable to provide these samples within this timeframe. 

 

Step 4: Prepare for New Hire Orientation

Once Steps 1-3 are completed, you will wait for the background check and test results to come back to ChenMed's onboarding team. This part of the process can take several days, so don't worry if you don't hear back right away! In the meantime, check out ChenMed.com to learn more about our mission and the company. 

You will be contacted by your Recruiting Coordinator with the results of your background check, along with important details about your first day at ChenMed.

bulb icon TIP: We recommend that you wait to provide notice to your current employer until the results of the background check and drug screening are received. 

Once you receive confirmation that your background check has cleared, there will be a couple of items you need to complete to prepare for your first day with ChenMed.

  1. You will receive 2 emails with a username and password to set up your Workday account. These emails will provide you with a link to the Workday Onboarding Dashboard where you can begin completing new hire tasks. It is recommended that you complete these tasks prior to your start date. 
     
  2. Connect with your new leader. You may receive a phone call or an email from your new leader welcoming you to the team. Take this opportunity to build a connection and ask any questions you may have prior to your first day.
     
  3. You will have the opportunity to enroll in benefits within your first 30 days at ChenMed. If you would like to familiarize yourself with the benefits offerings prior to your first day, please click here.

 

Step 5: Attend New Hire Orientation and Complete I-9 Form

During your first 2 days with ChenMed, you will attend New Hire Orientation and complete your I-9 form.

  1. You will receive two separate emails regarding New Hire Orientation – one from your Recruiting Coordinator and another from a Training Specialist who will be hosting the orientation. Both emails will contain New Hire Orientation (NHO) Information to help you prepare for the session. It is mandatory that you attend the 2-day ChenMed New Hire Orientation (NHO) to help you understand what it means to honor seniors with affordable VIP care. You will either attend orientation from home virtually or in person at one of our medical centers.
     
  2. You will receive an email with information on filling out your I-9 form. It is recommended that you complete this form prior to your first day but it MUST be completed by the end of your second day of employment. The email will outline directions and the required documentation needed to complete this form. For a full list of eligible documents that can be used for the I-9, click here.
